I&#8217;ve analysed the way that I  work  \t\twith emails and also the way my whole team works with emails. I&#8217;ve  \t\tcommunicated with customers and readers of my blog. And I HAVE LEARNT A   \t\tLOT!<\/span><\/p>\n<p><strong><span style=\"font-family: Tahoma;\">The problem is NOT  \t\tthe volume of emails.<br \/>\nThe problem is the <span style=\"text-decoration: underline;\">inefficient<\/span> way we write our emails.<\/span><\/strong><\/p>\n<p><span style=\"font-family: Verdana; font-size: x-small;\">We often don\u2019t realise it, but the  emails we are talking about are an  \t\tESSENTIAL part of our work. They can\u2019t be delegated&#8230; yet just  looking at  \t\tthe long list in our Inbox just <span style=\"text-decoration: underline;\">drains all the life out of us<\/span>.  Why?<\/span><\/p>\n<p><span style=\"font-family: Verdana; font-size: x-small;\">Because most of us have a <span style=\"text-decoration: underline;\">totally  inefficient way of processing emails<\/span>.  \t\tHere are TWO SIMPLE TRUTHS.<\/span><\/p>\n<ol>\n<li><span style=\"font-family: Verdana; font-size: x-small;\"><span style=\"color: #0066ff;\"><strong>We are  wasting our time and energy  \t\t\trewriting the same email over  \t\t\tand over again<\/strong><\/span>. Our research showed although we receive a  lot of  \t\t\temails, <em>many of them are similar to emails we have written before<\/em>\u2026   \t\t\tyet we rewrite them again from memory each time we need to. Guess  \t\t\twhat&#8230;<\/span><span style=\"font-family: Verdana; font-size: x-small;\">Writing the same  emails  \t\t\tagain and again <strong>does NOT make us better at it<\/strong>. In  \t\t\tfact it leads to <strong>boredom<\/strong> which leads to <strong>rushed lower  \t\t\tquality (often) incomplete emails<\/strong>.<br \/>\n<\/span><\/li>\n<li><span style=\"font-family: Verdana; font-size: x-small;\"><strong><span style=\"color: #0066ff;\">We  are creating extra emails for ourselves by writing incomplete  \t\t\temails<\/span><\/strong>. Send an incomplete email to someone&#8230; and they  need to  \t\t\twrite to you for more information&#8230; to which you have to reply  \t\t\tagain&#8230;<\/span><\/li>\n<\/ol>\n<p><strong><span style=\"font-family: Tahoma;\">I know&#8230; there are other  causes of email overload..<br \/>\nbut the<span style=\"color: #0066ff;\"> two listed above are IN YOUR CONTROL.<\/span><\/span><\/strong><\/p>\n<p><span style=\"font-family: Verdana; font-size: x-small;\">What we need is a SYSTEM to create  \t\temails once and then use them again as many times as we need to..  \t\tbasically some <em>easy<\/em> way of creating and using templates inside  \t\tOutlook. <\/span><\/p>\n<p><span style=\"font-family: Verdana; font-size: x-small;\">There are many solutions to this  \t\tproblem. Many users use Outlook&#8217;s built-in signatures as a solution.  \t\tThere are also other solutions but they are basically automated copy  and  \t\tpaste. <span style=\"text-decoration: underline;\">They fail to realise that an email consists of more than  just  \t\tthe body of the email<\/span>.<\/span><\/p>\n<p><span style=\"font-family: Verdana; font-size: x-small;\">That&#8217;s why we created <strong> <span style=\"color: #0066ff;\">InsertText for Outlook.<\/span><\/strong><\/span><\/p>\n<p><span style=\"font-family: Verdana; font-size: x-small;\">InsertText is an Outlook   \t\taddin i.e it <strong>works inside Outlook<\/strong> by adding buttons to  Outlook&#8217;s  \t\tmenus and toolbars.
